BEST Faculty Hiring Timeline

The above is a high-level process flow of the steps BEST takes in partnership with their campus departments to hire Faculty. Below are more details about what each step involves.

Who to contact 

Service/Action

Department/Academic Analyst

  • Notifies BEST HR Partner of incoming 7/1 Faculty via a ServiceHub Case. In the case, the information below should be included:

    • Date the new Faculty will be in Berkeley, if known

    • Faculty email address

    • Faculty name

    • Attach Faculty appointment letter or short Faculty form

  • Please note that any cases that require an employment visa should be submitted 6 months in advance. See Visa Timelines

  • Works with HR Partner and Visa Analyst to complete required visa forms and IOFs for new faculty, if a visa is required.

  • Will make a copy of  the New faculty administrative handbook and complete it with department specific information and distribute it to the incoming faculty

  • Provides Benefit Onboarding and HR advising specific to Faculty



BEST HR Partner

  • Can respond to questions about:

    • How to submit your appointment request in ServiceNow

    • Onboarding

    • Faculty paychecks related to BRS HRIM entry

    • End dates

    • Process terminations

  • If an employment visa is required, will promptly initiate the visa actions to begin the process, including collection ofpremium processing and BIO H-1B processing IOFs

  • If no visa is required, reach out to faculty to schedule a meeting to provide the new faculty an introduction to BEST HR services.

  • The latest the meeting should be scheduled is 2 weeks after the start of their appointment, but you can reach out to the faculty one month prior to their start date to asses their schedule.

  • Will initiate onboarding actions for Faculty to complete all required hiring forms.

UCPath Center

  • Overpayment collection process and questions about overpayment letter totals or overpayment deductions, contact UCPath Center

  • Stop payment and reissuance of checks 

  • Change of address requests via self service

  • Direct Deposit

  • Questions about paycheck deductions and taxes

Central Benefits Team

  • Healthcare Facilitator services

  • Helps employees (and retirees) understand how their healthcare plan works, understand premium costs, plan comparisons and eligibility issues

  • Handles benefits policy interpretation.

  • Handles ACA interpretation and if it was applied correctly.

  • To contact the P&C Benefits Team submit an inquiry via ServiceHub

Berkeley International Office

  • Coordinates with HR Partner to issue visa to new Faculty.

Academic Personnel Office

  • If Faculty need to delay arrival, Dean’s office and APO need to be informed and approve
