Managing Work Study Funds - Message from Work Study Office

I want to extend my appreciation to you; as of April, 2018-2019 student work-study earnings are at over $9.4 million which otherwise would be aid offered to students as loans! Thank you very much for your assistance in helping Cal students remain as debt free as possible.

I also want to extend my thanks to you for your patience during the transition into UCPath.  Our office has undertaken a series of process improvements in an effort to most accurately and efficiently work with UCPath. Please refer below for announcements and available resources for a successful fiscal close in relation to work-study.

  • To make sure your department is receiving the work-study subsidy, please log in as an On-Campus Employer on the work-study website, select "Students" and then "Student Earnings Report."
  • As previously communicated, April was the last month PETs in PPS impacting work-study funds were accepted. PETS in PPS against work-study funds posting to the May or June GL will be reversed.
  • Job Aid: Direct Retros impacting Work-Study Funding can be found on the UCPath website under Position Funding Entry and Updates and Direct Retro Transactions of the Transactional User Resource page
  • The deadline for Direct Retros in UCPath impacting work-study funds is June 14, 2019.
  • The March and April work-study budget allocations for UCPath earnings were processed and posted to the April ledger.
  • The Administrative Surcharge fee for March, April and May are expected to post in the May ledger.
  • Work-study functionality in UCPath requires alignment with pay period start and end dates. Federal regulation requires alignment of the end of the work-study year with the end of student attendance during the period of enrollment, which occurs in the middle of May. Hourly work-study employee earnings will receive subsidy for the first pay period in May. Regrettably, because current UCPath configuration does not allow only a portion of a month’s earnings to split, monthly work-study employee earnings will not receive any subsidy for hours worked in May
  • The 2019-2020 work-study program year begins July 1st, 2019. The end date of the year will be determined and shared by our office upon release of the official UCPath Production Processing Schedule.
  • Jobs for the upcoming year can be created on the work-study website at this time; however, students cannot be referred to these jobs until June 10, 2019. 
  • UCPath does not allow an employee to hold both an exempt and non-exempt Fair Labor Standards Act (FLSA) status position; therefore, during the 2019-2020 work-study year, undergraduate students in student titles with exempt (salaried) FLSA status will not be eligible to participate in the work-study program because federal regulation requires that undergraduate students be paid hourly.
  • If the work-study student is owed additional pay for an action that is separate from their regular hours/salary, HR will use the Additional Pay form (as advised on the UCPath FAQ page), but Additional Pay may not utilize work-study funds.
